The International Client Relations Administrator is responsible for supporting the International department and International Client Relations Coordinator with all aspects of order processing, customer service, maintenance of distributor records & resources, including internal website (distributor portal), sales & marketing support, fielding sales leads and diverse administrative tasks supporting our distribution network to achieve sales goals. This is a 6 month contract position at our international head office in Mississauga, Ontario.

Essential Functions:

  • Ensure superior customer service is delivered at all times
  • Ensure accurate and timely completion and delivery of all International department orders including entry, order acknowledgement and validation/integrity check in accordance with Laborie’s SOPs & policies
  • Process a variety of orders & returns, update customer records, and respond to emails and other inquiries or requests from Sales & Distributors using ERP System
  • Identify and recommend productivity, customer service and process enhancements
  • Maximize existing resources to organize, automate and synchronize various aspects of order processing & reporting
  • Collaborate with various departments for tasks & projects as required
  • Provide month end and quarter end support as needed to achieve corporate goals
  • Maintain and update reporting tools, analysis and recommendations on monthly global forecasts
  • Ensure amendments to orders are actioned immediately, communicating details to the appropriate internal & external parties
  • Assure proper handling of export documentation & active coordination of shipments
  • Monitor status and co-ordinate deliveries from various sources to delivery site, liaise with internal suppliers
  • Resolve backlog issues including order hold release, product configuration issues, part number and price discrepancies
  • Issue accurate invoices upon delivery of order
  • Aggregate weekly order status reports for internal teams
  • Assist with the development of quotes using ERP system in proper format, ensure the latest parts and technical updates are being used
  • Field telephone and website leads and sales inquiries in a professional manner and forward to appropriate sales rep and distributors
  • Process returns for consumables business
  • Complete daily/weekly/monthly reports as required; Order Status, Discrepancies, Backorders and Damage claims
  • Database maintenance; help track distribution contracts, distributor records, product records
  • Communicate on a regular basis with internal personnel and distributors to answer general inquiries
  • Ensure prompt response and resolution of all electronic messages on a daily basis
  • Support all aspects of international customer service

Qualifications:

  • Bachelor’s degree or 2+ years of previous administrative experience with increasing levels of responsibility in order management
  • Proficient in Word, Excel, PowerPoint and Outlook
  • Familiarity with import, export, customs, and business with other countries preferred
  • Excellent follow-through, attention to detail, problem-solving, communication, customer service and organizational skills
  • Ability to effectively communicate with all levels of internal and external personnel
  • A high level of accountability, accuracy and professionalism
  • Ability to work independently with minimal supervision, multi-task and meet recurring, daily deadlines; self-motivated with strong initiative
  • Strong customer service skills and ability to think fast
  • Technically oriented with good computer and critical thinking skills
  • Ability to work in a high-energy, high pressure environment
  • Excellent oral and written command of the English language
